Privacy Policy

Effective date: [DATE]

Field & Post ("we," "us") provides writing, design, printing, and mailing services for ministry updates. This policy explains what information we handle and how we treat it. We've written it in plain language on purpose.

The short version

We collect only what we need to produce and mail your updates. Your ministry partner mailing list is used for exactly one thing: mailing your updates. We never sell, rent, trade, or share your list or your stories with anyone except the vendors who physically help us print and mail — and they're bound to the same standard.

What we collect

  • From clients: your name, email, ministry or organization name, billing information, the content you send us (voice memos, photos, drafts), and your correspondence with us.
  • From your mailing list: the names and postal addresses of your ministry partners, and any notes you provide (for example, which partners receive a year-end letter). We receive this information from you; we do not collect information about your ministry partners from any other source.
  • From website visitors: basic analytics (pages visited, general location, device type) via Google Analytics, and any information you submit through our contact or email-signup forms.

How we use it

  • To write, design, print, and mail your ministry updates
  • To manage your partner list if you're on a plan that includes list management (updating addresses, removing duplicates, processing address changes you send us)
  • To communicate with you about your projects
  • To send you the resources you've requested (like our email guides) — you can unsubscribe anytime
  • To improve our website

Who we share it with

Only service providers necessary to do the work: printing vendors, the United States Postal Service, our form and data storage providers, and payment processors. These providers receive only what they need to perform their function. We do not sell or share personal information for advertising, and we never disclose client stories, content, or mailing lists to any third party for any other purpose.

Workers in sensitive locations

We understand that for some clients, the wrong information in the wrong place is a safety issue, not a preference. On request, we will: use pseudonyms or initials in our own records, omit location details from all correspondence and files, follow your organization's communications security protocol, and delete project materials after mailing. Tell us your requirements and we will follow them.

Storage and retention

Client and list data is stored in access-controlled systems. We retain mailing lists and project files while you're an active client so we can serve you without re-collecting everything. If you stop working with us, we'll delete your mailing list and project files on request — just email us.

Your choices

You can ask us at any time to show you the information we hold about you or your ministry partners, correct it, or delete it. Email hello@fieldandpost.co and we'll handle it promptly. Ministry partners who receive mailings we produce may also contact us to be removed from a client's list; we'll pass the request to the client and honor it.

Cookies and analytics

Our site uses Google Analytics to understand how visitors use it. This involves cookies that collect anonymized usage data. You can block cookies in your browser settings without affecting your ability to use the site.

Changes

If we change this policy, we'll update the effective date above and note material changes on this page.
